Security Roles - Access Summary


This page provides managers with a summary of how PeopleSoft System Access is provided at the University of Calgary, the access automatically assigned for Employees and General Associates, and additional access which must be requested.


Basic (Default) Roles

Basic default or Employee Self Service access is provided to all employees and General Associates once they are hired in the HR PeopleSoft system.

  1. Access Provided

    • Access to myUCalgary Portal 
    • Update Personal Information 
    • Enter Timesheets (excluding General Associates)
    • Submit Expense Reports (excluding General Associates)
    • Manage Delegation, if applicable (excluding General Associates)
    • View Personal PeopleSoft System Accesses

Role Based (Dynamic) Access

In addition to default access, the following access is automatically provided to employees who either have people reporting to them or who are Project or Department Budget Owners.

  1. Access Provided

    • Approve employee timesheets
    • Approve Job Changes
    • Submit HR forms
    • View HR data for direct reports (Manager Reports)
    • Ability to manage applicant information on job postings associated with a particular Manager 
    • Ability to submit PeopleSoft System Access Requests
  1. Access Provided

    • Approve employee timesheets

    • View HR data for direct reports (Manager Reports)
    • Ability to manage applicant information on job postings associated with a particular Manager 
    • Ability to submit PeopleSoft System Access Requests
  1. Access Provided

    • Approve Finance and HR transactions that require a project approval
  1. Access Provided

    • Approve Finance and HR transactions that require a department approval
    • View Financial Reports in the Enterprise Reporting Data Warehouse

Examples of Requested PeopleSoft System Access HR Rolesets

The following rolesets must be requested on behalf of the employee or General Associate, by the manager or someone who has been delegated authority to submit these requests. The Request is submitted via a PeopleSoft Access Request (PSAR). General Associates are not typically approved for these rolesets, however, some exceptions may apply.   1. Access Provided

    • Ability to initiate Job Opening Request (JOR), Template-Base Hire (TBH) and Job Change Request (JCR) forms for all hire types, excluding Student and Sessional Instructor payment types. Also able to submit Termination requests for all employee types.
  1. Access Provided

    • Provides access to view applicant information on assigned job postings, and submit Offer Letter Requests.
  1. Access Provided

    • Ability to initiate Job Opening, Template-Base Hire (TBH) and Job Change forms for all student payment (excluding hourly jobs) types.
  1. Access Provided

    • Ability to initiate Job Opening, Template-Base Hire (TBH) and Job Change forms for all Sessional Instructor appointments.
  1. Access Provided

    • Ability to initiate purchase requisitions for goods and services
  1. Access Provided

    • Provides access to run Human Resources reports in the HR DataMart. The reports contain employee compensation and are limited by employee Dept ID security.
  1. Access Provided

    • Ability to submit time sheets on an employee's behalf. This should only be provisioned to employees who have been delegated to support the timekeeping process with a Faculty/Unit.
