Enrolment Verification Letters

Requesting an Enrolment Verifications Letter via the Student Centre

Step 1

Select 'Enrolment Verification' from the 'Other Academic' drop down list and press peoplesoft arrow sign

Choose the term for which the letter is required (Fall or Winter letters will include both Fall and Winter enrolment information and Spring or Summer letters will include both Spring and Summer enrolment information).

This is a generic letter format provided for multi-purpose use. If students require different information about their status, they should contact Enrolment Services or their home Faculty office.

The Letter Term value will default to the most current term for which the student has an active program and has been term activated. Once term activation occurs for an upcoming registration period, the terms of that registration period will become available as potential Letter Terms. Once the end date has been reached for a term, that term will no longer be available from the list of choices.

The selection of the term is most relevant if a change of program is going to take effect in an upcoming term. In order for the letter to have the new program information, the effective term for the program must be chosen.

Important Students who have not been term activated for the current or a future term, will not be able to obtain a letter through their Student Centre. In this instance, the following error message will be presented and students should contact Enrolment Services for assistance.

Step 3

Select "Print Letter" to produce a letter for the specified term. This process pulls information from the database, so will take a few moments to complete.
Once complete, a letter will open in a new window as a PDF document that can be printed:

Note

The contents of the letter are drawn from the student administration database as at the date and time that the letter is generated. If it is thought that the information appearing is not complete and up-to-date, students should visit Enrolment Services or their home Faculty office to check on their program and/or registration status. Once the errors are corrected, the letter process can be run again.

Factors to keep in mind

Student Loans and Financial Aid - This is a general letter format. It may not meet all the needs of a student as far as an official statement about their status at the University of Calgary. Specifically, it CANNOT be used for student loan or financial aid purposes. Students should ensure that they use the appropriate forms required for these purposes. Students may obtain assistance by contacting Enrolment Services or their home Faculty.

Graduate Students, Medicine and Law Students - This general letter format may not be appropriate for students in Graduate, Medicine or Law programs. Students should check with their program office for assistance if their letter does not contain information that is specific enough for their situation.

Graduate students studying within the Faculty of Graduate Studies are not eligible to use this letter generation process if a hold has been placed on their record. Holds can be placed on a record for a variety of reasons, most commonly for non-payment of fees or when documents have not been received to complete a student’s record. If a student has a hold on her or his record, the following error will appear when a letter is requested:

Students in a Joint Degree Program - The general letter format cannot accommodate students in a Joint Degree program with components from across academic careers (e.g. MBA/Law, MD/PhD, etc.). Students in this situation will receive the error message below and should contact the Faculty of Graduate Studies, Law or Medicine for assistance as appropriate to their situation.
